All TXN coaches must have an active USA Lacrosse membership for the current club season.

Starting in 2025, coaches are required to complete the minimum level of USA Lacrosse coaching certification: Bronze.

USA Lacrosse Bronze Certification

Starting in 2025, coaches are required to complete the minimum level of USA Lacrosse certification: Bronze.

• Instructions are outlined in the Bronze Certification Instructions.
• Please complete the certification by September 29, 2026.

USA LACROSSE MEMBERSHIP REIMBURSEMENT

Texas Nationals will reimburse the cost of your USA Lacrosse membership renewal up to $60.

Texas Nationals ALL Coaches Travel Policy - Stipend-Only 2026-2027

• Travel Arrangements: Coaches are solely responsible for coordinating and booking all necessary travel arrangements—including airfare, hotel, and car rental—for their respective tournaments.

• Coaches: Maximum of 2 coaches per team are eligible for a travel stipend.

• Standard TXN Travel Plan: The standard TXN Travel Plan is not available for the 2026–2027 season.

TXN-Arranged Airbnb Option

• If 5 or more TXN teams are attending a tournament, a TXN-arranged Airbnb option may be offered to coaches.

• The Airbnb will only be arranged if at least 8 coaches commit to the Airbnb by the published commitment deadline for that tournament.

• Coaches who select the TXN-arranged Airbnb will not receive the hotel portion of their travel stipend.

• Currently, this option is available for Sandstorm only.

• Sandstorm Commitment finalized November 1, 2026.

• Once the commitment deadline has passed, TXN will finalize the Airbnb group and make the lodging arrangements based on the coaches who committed to the Airbnb.

• No changes to lodging arrangements will be permitted after the published commitment deadline for the respective tournament.

Travel Changes

The individual coach is solely responsible for covering any penalties, fees, or additional costs associated with travel cancellations or changes.

Stipend Payment Schedule and Requirements

Stipend Amount

The total travel stipend varies by tournament.

Stipend amounts are listed in the “Stipend ______ Tournament Travel STIPENDS Fall 2026” on the TXN Coaches Resource Page.

Stipend Payments

Travel stipend reimbursements will be paid through the monthly payroll system. Zelle will not be an option for travel stipend payments for the 2026–2027 season.

Advance Stipend — Optional

Coaches may choose to receive an advance toward their tournament travel stipend, payable in OCT 1st paycheck ONLY

• Amount: 50% of the assigned stipend or the maximum allowed airfare, whichever is greater, capped at the total assigned stipend.

• The Advance Stipend is part of the assigned stipend, not an additional payment.

• Maximum allowed airfare and stipend amounts are listed in the “Stipend ______ Tournament Travel STIPENDS Fall 2026” on the TXN Coaches Resource Page.

• Any Advance Stipend paid will be deducted from the remaining stipend.

• Payment Date: October 1, 2026 paycheck, pending approval by assigning Admin

• Requirement: Complete the Pre-Tournament Travel Commitment Survey

  • Available in the “Travel Commitment ______ Coaches Fall 2026” on the TXN Coaches Resource Page.

• Deadline: September 29, 2026, 11:59 PM

Coaches who choose not to receive the Advance Stipend, or who miss the deadline, will receive their full stipend in the next applicable paycheck, provided the required post-tournament travel verification has been submitted and approved.

Final Stipend — October Tournaments

• Amount: Remaining assigned stipend after any Advance Stipend payment

• Payment Date: November 1, 2026 paycheck

• Requirement: Post-tournament Travel Verification — airline or hotel receipt upload

  • Available in the “Validation ____________ Coaches Fall 2026 Travel” on the TXN Coaches Resource Page.

• Deadline: October 26, 2026, 12:00 PM (noon)

Final Stipend — November Tournaments

• Amount: Remaining assigned stipend after any Advance Stipend payment

• Payment Date: December 1, 2026 paycheck

• Requirement: Post-tournament Travel Verification — airline or hotel receipt upload

  • Available in the “Validation ____________ Coaches Fall 2026 Travel” on the TXN Coaches Resource Page.

• Deadline: November 26, 2026, 12:00 PM (noon)

Final Stipend — December Tournaments

• Amount: Remaining assigned stipend after any Advance Stipend payment

• Payment Date: January 1, 2027 paycheck

• Requirement: Post-tournament Travel Verification — airline or hotel receipt upload

  • Available in the “Validation ____________ Coaches Fall 2026 Travel” on the TXN Coaches Resource Page.

• Deadline: December 22, 2026, 12:00 PM (noon)

Travel Verification & Payment

Travel verification is required before the stipend can be paid. Coaches must upload an acceptable airline or hotel receipt showing the coach’s name, travel dates, amount paid, and method of payment.

If the required travel verification is not submitted by the deadline, payment will be delayed until the verification is submitted and approved. The stipend will then be paid in the next applicable paycheck.

Coaches Travel Cancellation Policy

Coaches who receive the 50% advance travel stipend but do not attend the scheduled tournament are subject to the following rules.

Travel Stipend Advance Reimbursement

Coaches who miss a tournament are required to reimburse Texas Nationals for the full amount of the travel stipend advanced for that missed event.

Immediate Reimbursement Deadline

• The full travel stipend amount must be reimbursed to Texas Nationals Lacrosse LLC within 24 hours following the last day of the missed tournament.

• Reimbursement must be made using the payment method designated by Texas Nationals at the time of the reimbursement request.

Failure to Reimburse

If the required reimbursement is not successfully processed or the deadline is missed:

• Payroll Deduction: The full reimbursement amount may be deducted from the coach’s subsequent scheduled paycheck, subject to applicable payroll requirements.

• Tax Treatment: Any unpaid reimbursement may be handled in accordance with applicable tax and payroll requirements.

Coaches Travel   2026 - 2027

Advance Stipend Payment (Optional, pending commitment & approval):

• Coaches may receive an advance payment equal to 50% of their assigned stipend. To qualify for this option, the pre-tournament travel survey must be completed by the following deadlines:
• Fall Tournaments (Nov / Dec & WLF):
  • Sept 25th > advance  Oct 1st paycheck.  
• Winter Tournament (Sandstorm)
  • Oct 30 > advance Nov 1st paycheck.

Travel Validation

Travel and attendance must be validated for each respective tournament in order for the remaining travel stipend to be paid in full.

Validation deadlines are provided in the policy

Please submit your request, including a brief explanation of the travel disruption, the carrier's proposed solution, and any additional costs incurred as a result of the disruption.

Requests will be reviewed on a case-by-case basis. While every effort will be made to accommodate affected coaches, approval is not guaranteed.

Tournament Travel STIPEND - 2026 Fall  / 2027 Winter

• Standard stipend includes
  • full airfare (locked in 9/14/26)
  • 1/2 hotel *not included when Airbnb option selected

• Steps to receive full stipend
  1. Travel Commitment Survey:
     • Submit by Sept. 25 for Fall tournaments and Oct. 30 for Sandstorm.
  2. Advance Payment: advance is the maximum allowable airfare amount.
     • Oct. 1 for Fall tournaments;
     • Nov. 1 for Sandstorm — 
  3. Remaining Balance: Paid after the tournament once required travel verification and receipts are submitted.

• Be Prepared– Arrive early, organized, and ready to start on time and coach every practice, game, tournament, and Club event.
• Be Professional– Treat players, parents, officials, opponents, and fellow coaches with respect and communicate in a positive, professional manner.
• Support the Club– Uphold the mission, values, policies, and leadership of Texas Nationals.
• Be Loyal– Never recruit Texas Nationals players or families to another club or use my position with Texas Nationals to benefit a competing organization.
• Protect Confidential Information– Maintain the confidentiality of Club information, player information, and internal communications.
